#Vendor Portal
A dedicated home for the production companies whose products live in the EVT3D library.
EVT3D's prop library is built on real vendor products — chairs, trusses, LED panels, tables, lecterns. The Vendor Portal is where those vendors come in to manage what's published, see how their catalog is being used, and grow their presence on the platform. It's a separate workspace from the designer-facing app: vendors don't run events; they supply products.
#Who it's for
- Vendor Admins. The person at a production company who owns what their company's catalog looks like on EVT3D. Edits products, uploads new ones, manages the team, edits the company profile and logo.
- Vendor Members. Team members at the same company who can edit products but don't manage the team or company profile.
Both roles sign into a portal scoped strictly to their company. They see only their own products, never another vendor's catalog, never customer-private projects.
#What it does
#A dedicated portal
A separate workspace from the designer app and admin dashboard. Same calm header + tab strip pattern as the rest of EVT3D, scoped to one vendor organization. Vendor admins sign in and land directly here.
#Tabs
- Overview. Greeting, headline product / usage stats, and a mini-library showing your most recently updated products. Quick pivot into edit.
- Catalog. A sortable, searchable table of every product your company has on EVT3D — props and assemblies. Filter by category, subcategory, or sub-subcategory. Edit any row.
- Studio (called Sandbox on the free vendor tier). Sandbox projects scoped to your company: open one in the full scene editor, with the library narrowed to your own catalog, to stage your products in a real scene. + New sandbox creates one (up to 3 on the free tier); on the Showroom tier the tab is Studio, the button is + New project, and there's no cap.
- Inbox. Customer messages sent to your company. Click a conversation to read it, answer with Reply by email (opens your email client), and Archive it when you're done.
- Service Zones. Define your warehouse locations and delivery radius on a map, or toggle on global coverage if you ship anywhere. Multiple warehouses supported.
- Stats. A live dashboard of how your products are being used across customer projects — a 90-day activity chart, a geographic map of customer projects where your products show up, a top-products leaderboard, and headline totals.
- Org. Your company profile, logo, and team. Edit contact info, upload a logo, invite new team members, change roles, remove team members.
#Add a product
Vendor admins can upload new products directly. Drop in a 3D model (GLB, GLTF, OBJ, or FBX — zipped folders with sidecar textures also accepted), fill in name, category, subcategory (cascading three-level taxonomy of event-industry categories), keywords, and description. Attach up to 10 promotional photos and choose one as the hero photo. Publish, and the product is live in the global library — searchable by every EVT3D designer.
#Service Zones
Define your real-world coverage on a map. Drop a pin on each warehouse with a delivery radius (or use the Places autocomplete to find the address); the map shows each zone as a colored circle. Set a single global toggle if your company ships internationally. Customer projects within your coverage show as markers on the same map so you can see at a glance which active designs you could be quoted into.
#Stats
A live, refreshable dashboard of how often your products are landing in real customer designs:
- Headline tiles — Active products, Projects using your products, Top product, and Geographic reach.
- Project creation — last 90 days — a day-by-day chart of new projects using your products, so you can spot seasonal demand or a new product gaining traction.
- Where your products are being used — a map with one marker per customer project, located at its venue.
- Most placed in projects — a top-products leaderboard so you know which items in your catalog are pulling the most weight.
- ↻ Refresh — the numbers are cached for 10 minutes; click it to recompute them any time you want.
The same numbers also feed the headline tiles on your Overview tab.
#Edit a product
Click any row in the Catalog tab to open the full product editor:
- 3D preview pane. Live render of the product with the same previewer used in the main editor — orbit, frame, recenter, capture.
- Quality report card. At-a-glance check of polygon count, material count, texture sizes, and other vendor-relevant quality signals.
- Metadata edits. Name, category, subcategory, keywords, description.
- Product gallery. Add new photos, remove existing ones, and pick the hero photo (Set as hero). There's also a 📸 Capture from 3D button that grabs the current preview frame and saves it directly to the gallery — useful for a clean, on-brand product shot without needing a photo studio.
- Save & close. Changes propagate to every customer's library on the next refresh.
#Manage your team
The Org tab lets a vendor admin run the team without involving EVT3D support:
- Invite new members by email. Pick the role (Vendor Admin or Vendor Member). They get a branded invite email with a magic link — set a password, click in, they're on the team.
- Resend or revoke pending invites.
- Change member roles. Promote a member to admin, demote an admin to member. There's a safeguard: you can't demote the last admin (it would lock the org out of self-service).
- Remove members. Same safeguard for the last admin.
#Profile and logo
The Org tab also lets admins manage your public-facing profile: contact email (where customer messages route), phone, website, address, and your company logo. The logo appears on your product tiles and in the vendor directory.
#How invites work
- Admin enters an email and picks a role (Vendor Admin or Vendor Member) in the Org tab.
- The invitee gets a branded email. Subject line is friendly ("You're invited to the EVT3D team for [your company]"). The email contains a magic link.
- Click the link. If they don't have an account yet, they land on "You’re invited to [your company]," choose a password, and click Create account & accept. If they're already an EVT3D user, they click Sign in to accept. Either way they're greeted with "Welcome to your team’s account on EVT3D."
- First login completes the membership automatically. Their role and vendor membership are stamped in the background; they land in the Vendor Portal on their first session, no further setup.
#Why it matters
Vendors and event designers are different user shapes. A designer thinks in projects; a vendor thinks in products. The Vendor Portal respects that — it gives the people who supply the props a workspace built for their job: catalog management, gallery curation, team admin, usage stats, and service-zone coverage. No squeezing vendors into a designer's tool.
For designers, that means the library stays current: real vendors keep their listings accurate, upload new products as they're added to the rental fleet, and discontinue what's no longer available — without anyone having to file a support ticket.
